JOB SUMMARY
The Recruiting Administrative Coordinator will perform administrative and onboarding duties for the recruiting function. Responsibilities will include but are not limited to:
  • Schedule new hire drug screens and physicals
  • Assist with offer letters and PCNs
  • Follow-up, collect and clear pending backgrounds
  • Follow-up, collect and clear pending drug screens and physicals
  • Manage, update, and reconcile weekly recruiter activity reports
  • Greeting candidates for consideration on the front end
      • Help at the application kiosk, let the recruiters or managers know that the person is here for their appointment, assist the recruiters with walking them to the hospital if needed
  • Assist the candidate when they are returning either from an interview or on a post offer follow-up
    • Assist the recruiters in getting documents reviewed and signed off i.e. the application, the offer letter, job description, etc.
  • Assist in Taleo
    • Ensuring that before A-team position review data is accurate on the requests such as the department, job code, position control, shift, number of work hours, and the justification is at least entered
    • Printing off the turnaround document for new hires and ensuring that all lines of data are completed
    • Printing off requisitions that the Recruiters have closed that then get matched to PCN’s that may have come to the Generalist for internal moves, changes, and/or promotions
    • Potentially printing backgrounds and/or People Answers questions and/or profiles to assist the Recruiters or Managers in the screening process
  • Prepare New Hire Packets
    • Utilizing the facility checklist for Recruiters the coordinator would ensure that all components listed are in the packet and in the order of the checklist.
    • They would ensure that all duplicate and non-essential notes or documents from the Recruiters are removed from the packet prior to the packet going to the Generalist for HRMS processing
      • This would include double checking with the Recruiters on the correct primary source verifications of licensure, and any required certifications, registry, or course completion of BLS, ACLS, NRP, PALS, and the like are verified and in the packet.
      • This would also include ensuring that the background has no pending items and that the candidate has met company standards
      • This would also include ensuring that the packet is to the Generalist by our agreed upon internal deadline of the Monday prior to the next Orientation
  • Document Readiness
    • Ensure that the Recruiters have on hand the onboarding packet that details information about the facility and our benefits for presentation to candidates considering us.
    • Distribute via e-mail the onboarding PDF and e-mail created for the Recruiters to use in communicating the next steps in our hiring process to candidates to ensure a smooth process of onboarding
      • This document includes what to expect in Occupational Health and where they are located
      • Ensure flyers related to ERP are out and any items needed for Recruitment events
  • Face of Recruitment
    • Take the lead on contacting candidates to ensure they keep their appointments, have questions answered, etc.
    • Potentially assist with initial screening of candidates (as skill set is discerned)
    • Other Duties
    • Ensure that all referrals are recorded on the ERP site for HR tracking of payments due
    • Ensure that the CHRO knows of and gets a copy of any bonus or retention agreements for payment tracking
    • Utilizes tools including , HRMS, Taleo, Precheck
  • Future Potential Duties
    • Sourcing candidates for Recruiters including utilization of Social Media outlets
    • Attending/participating in off-site Recruitment events
    • Assisting other facilities
    • Assuming the Red Carpet duties from Generalist at HNW
    • Assisting in Training (Taleo, People Answers, Interviewing Tips

Qualifications:

Qualifications
  • 2 plus years’ experience in HR;
  • Recruiting administrative / onboarding experience preferred
  • ATS (Taleo) experience preferred
  • Excellent organizational, interpersonal, and communication skills (verbal and written)
  • Ability to adhere to deadlines
  • Ability to work independently
  • Proficient in Excel, Outlook, PowerPoint, Word
  • Excellent analytical and critical thinking skills
  • Ability to interact with all levels of management
